This page explains what Derbyshire Flooring Specialists does with the information you give us, why we need it, how long we keep it, and what you can ask us to do with it. It is written to be read, not to cover us.
1. Who we are
Derbyshire Flooring Specialists is a trading name of Derbyshire Speciallists Group, a company registered in England and Wales, company number 13870708, registered address Suite 2 The Point, Mayfield Road, Ilkley, England, LS29 8FL.
We are the data controller for the information collected through www.derbyshireflooringspecialists.co.uk/. If you want to talk to us about anything on this page, contact us on 01332 215444 or at info@derbyshirespecialistsgroup.co.uk.
2. What we collect
When you send us an enquiry — through the form, by email, or by phone — we collect your name, your phone number, your email address, the address of the property the work relates to, anything you tell us in your message, and any photographs you choose to send.
When you simply browse the site — our website provider records standard technical information such as the pages you visited and roughly where in the country you are. This is used to understand how the site is used. It does not identify you by name.
We do not buy personal information from anyone else, and we do not collect anything about you from social media.
3. Why we need it, and our lawful basis
| What we do | Why | Lawful basis |
|---|---|---|
| Reply to your enquiry and prepare a quotation | It is what you asked us to do | Steps taken at your request before entering a contract |
| Arrange and carry out the work | To do the job you have booked | Performance of a contract |
| Keep records of quotations and completed work | Guarantees, disputes, insurance and tax | Legal obligation, and our legitimate interest in keeping proper records |
| Understand how the website is used | To keep it working and make it more useful | Our legitimate interest in running the site properly |
We will not add you to a marketing list because you asked for a quote. If we ever want to send you marketing, we will ask you first, and you can stop it at any time.
4. Photographs you send us
Photographs help us quote accurately without a visit, and we use them for that. We will not publish a photograph of your property, or use it in our own marketing, unless you have told us we can. If you would like a photograph deleted once the job is done, ask us and we will delete it.
5. Who else sees it
We do not sell your information to anyone, and we never will.
Your enquiry may be passed to the installer who covers your area. We work with a network of vetted contractors, and your enquiry goes to the one who can carry out your job. They receive only what they need to contact you and quote — your name, contact details, the property address and your message, together with any photographs. They are responsible for their own handling of your information from that point, and they may not use it for anything other than your enquiry.
Beyond that, your information is seen by the suppliers who run things on our behalf: our website and form provider, our email provider, and our accountant. They act on our instructions and cannot use your information for their own purposes.
We will disclose information if the law requires it — for example to HMRC, an insurer handling a claim, or a court.
6. How long we keep it
If you enquire and we do not end up doing the work, we keep your enquiry for 24 Months and then delete it.
If we do the work, we keep the record for six years after the job is finished. That is the period covered by our guarantee and required for tax records.
7. Cookies and the website
Our site uses cookies that are needed to make it work and to count visits so we can see which pages are useful. You can block or delete cookies in your browser settings; the site will still work.
Our website is hosted and served by our website platform provider, and some information may be processed outside the UK. Where that happens, it is protected by the safeguards UK data protection law requires.
8. Your rights
You can ask us to:
- Show you what we hold about you. We will respond within one month, free of charge
- Correct anything that is wrong
- Delete what we hold, where we have no legal reason to keep it
- Stop using it for a particular purpose, or restrict what we do with it
- Send it to you, or to someone else, in a portable format
- Stop marketing, at any time and without giving a reason
Ask by emailing info@derbyshirespecialistsgroup.co.uk or writing to us at the address above. There is no charge and you do not need to give a reason.
9. If you are unhappy with how we have handled your information
Tell us first, and we will deal with it. Email info@derbyshirespecialistsgroup.co.uk with the word Data complaint in the subject line, call us on 01332 215444, or write to Derbyshire Specialists Group, Suite 2 The Point, Mayfield Road, Ilkley, England, LS29 8FL.
We will acknowledge your complaint within 30 days and tell you who is looking at it. We aim to give you an answer within three months, and we will keep you posted if it is going to take longer.
If you are still unhappy, you can complain to the Information Commissioner's Office, the UK regulator for data protection. You can do that at ico.org.uk/make-a-complaint or by calling 0303 123 1113. Complaining to us first does not affect your right to go to the ICO.
10. Changes to this policy
If we change how we handle your information, we will update this page and change the date at the top. This version was published on 23 September 2026.
